1. Who we are
Zakes Motorworks is a vehicle workshop based at 4242 Chlorine Ln, Clayville, Olifantsfontein, 1666, South Africa. For the purposes of the Protection of Personal Information Act 4 of 2013 (POPIA), we are the responsible party for personal information collected through this website, the customer portal, and our workshop systems.
2. What we collect
- Contact details — name, email address and phone number when you request a quote, breakdown assistance, contact us or register.
- Vehicle details — make, model, year, registration, colour, VIN and mileage.
- Service records — quotes, invoices, bookings, job cards, breakdown callouts, payments and notes about the work.
- Location details — addresses you enter (including breakdown locations) to provide the service.
- Account details — portal sign-in credentials (passwords are held by our authentication provider, never stored by us in plain form).
- Technical data — basic request metadata needed to run the site and prevent abuse (e.g. reCAPTCHA verification).
3. How we collect it
Directly from you via website forms, the customer portal, phone, WhatsApp, email, or in person at the workshop — and from your activity in the portal (for example, accepting a quote).
4. Why we use it
- To provide the services you request — quoting, booking, repairs, breakdown dispatch and invoicing.
- To communicate with you about your requests, approvals, status updates and account.
- To keep accurate business, tax and warranty records as the law requires.
- To operate and secure the portal and prevent fraudulent requests.
We do not sell your information and we do not use it for third-party advertising.
5. Who we share it with
- Our staff — office and mechanics who need it to do the work.
- Service providers — hosting, authentication (Google Firebase), email delivery, address lookup (OpenStreetMap/Photon) and security verification (Google reCAPTCHA), each limited to what they need for their function.
- Suppliers and tow services — only the details needed to fulfil your request.
- Authorities — where the law requires disclosure.
6. How we protect it
Access is restricted to staff who need it. Sensitive fields such as phone numbers are stored encrypted, sign-in is handled by a managed authentication provider, and portal data is scoped so customers can only see their own records.
7. How long we keep it
Service and financial records are kept as long as the law requires for tax and warranty purposes. Portal accounts remain active while you use them; you may request closure at any time.
8. Your rights
Under POPIA you may request access to the personal information we hold about you, ask us to correct or delete it, object to certain processing, or withdraw consent where processing is based on it. To exercise any of these rights, contact us at info@zakesmotorworks.co.za. You may also lodge a complaint with the Information Regulator (South Africa) at enquiries@inforegulator.org.za.
